Platform

A compliance platform that works the way your organization actually works.

SignumOps combines a configurable workflow engine, hardware-based location verification, and AI-powered documentation — built for human services compliance at scale.

One platform. Three capabilities. Everything connected.

Layer 1

Configurable Workflow Engine

Your processes, digitized. Not replaced.

Your organization has processes that evolved over years — shaped by state requirements, licensing conditions, internal policies, and the realities of frontline work. SignumOps doesn't replace those processes with rigid templates. It digitizes them.

The workflow engine is fully configurable:

  • Define your own event categories and subcategories — matching your state's incident definitions, not a vendor's generic list.
  • Map your existing protocols into structured digital workflows. If your Pennsylvania facilities follow different procedures than your New Jersey facilities, the platform handles both — with the right forms, the right escalation paths, and the right reporting outputs for each jurisdiction.
  • Tag events with multiple categories simultaneously. Real incidents don't fit one box. A fall that involves a medication error and suspected neglect is documented as all three — not forced into a single primary category.
  • Build escalation rules that match your org chart. Supervisor notifications, compliance officer alerts, executive dashboards — all configurable per facility, per event type, per severity.
  • Evolve without rebuilding. When regulations change or your organization acquires a new facility with different protocols, the workflow engine adapts. No custom development required.

The result: your staff sees workflows that match what they already do. Your compliance team gets structured, consistent, comparable data across every facility and every state. Same process, clean output.

Layer 2

Hardware-Based Location Verification

Prove who was where. Automatically.

Compliance in residential care depends on one fundamental question: can you prove your staff was physically present?

SignumOps uses NFC checkpoints and BLE beacons to answer that question with hardware-grade certainty — not self-reported logs, not GPS approximations, not phone-based check-ins that can be completed from the parking lot.

  • NFC tap-in/tap-out. Staff tap their phone on an NFC tag at a checkpoint. Timestamp, location, and staff identity are captured instantly. No app to open, no form to fill. One tap.
  • BLE continuous presence. Bluetooth beacons detect staff presence at room level. The system logs entry, duration, and exit automatically — creating a continuous presence record without any action from the worker.
  • GPS for field work. When staff leave the facility for home visits or community work, GPS takes over — verifying arrival, tracking duration, and logging departure.
  • Tamper-resistant audit trails. Every presence record is timestamped, device-identified, and stored immutably. Records cannot be backdated, edited, or fabricated after the fact.

The distinction matters: EVV (Electronic Visit Verification) proves a device was at a location. SignumOps proves a person was in a room. For residential compliance — where regulators ask "was this individual checked at 2:00 AM?" — that's the difference between a satisfactory answer and a deficiency citation.

Layer 3

AI-Powered Event Documentation

30 seconds of speech. A complete compliance record.

When a frontline worker finishes responding to an incident — a restraint, a behavioral episode, a medical event — the last thing they should have to do is sit down with a 12-page paper form. But that's the reality at most organizations today.

SignumOps uses AI to eliminate that burden:

  • Voice-to-record. Staff describe what happened in their own words. AI extracts the key elements — who was involved, what occurred, what categories apply, what actions were taken — and structures them into a compliant record format.
  • Auto-categorization. The system suggests applicable event categories based on the description. Staff confirm or adjust — no need to navigate dropdown menus or remember which state-specific code applies.
  • Context pre-filled. Location (from NFC/BLE/GPS), time, staff identity, facility, shift information — all pre-populated from the platform. The worker only provides what the system can't already capture automatically.
  • Structured output. The result is a record with structured fields, not free text. Sortable, filterable, comparable across facilities and time periods. The data quality problem — misspellings, inconsistent terminology, missing fields — is solved at the point of capture.

The AI doesn't write clinical notes. It doesn't generate narratives. It processes real-world events into structured compliance data. That's a different capability than what any EHR vendor is offering.

Dashboard

One screen. Every facility. Real-time.

Status across all locations.

See which facilities are current on documentation, which have overdue items, which are showing pattern changes.

Event timelines.

Every compliance-relevant event — presence verifications, documented incidents, escalations — on a unified timeline per facility and per individual.

Pattern detection.

The platform surfaces trends before they become audit findings. Rising event frequency at a specific location. Recurring categories. Gaps in documentation coverage.

Audit-ready exports.

One click generates reports formatted for state surveyors, CMS reviewers, or internal leadership. Date range, facility, event type — all filterable. No manual assembly.

Corrective action tracking.

When an event triggers follow-up — staff retraining, policy updates, facility changes — the platform tracks assignments, deadlines, evidence of completion, and closure. Historical patterns are visible: has this facility been cited for the same issue before?

Enterprise

Built for the questions your CIO will ask.

HIPAA Security Rule 2026 aligned.

MFA, encryption at rest (AES-256) and in transit (TLS 1.3), network segmentation, annual penetration testing, vulnerability scanning, documented audit trails.

US data residency.

All patient data hosted on US infrastructure. Engineering access via encrypted connections with MFA. No ePHI leaves US soil.

Multi-tenant architecture.

Each client organization's data is isolated at the database level. No shared tables, no cross-tenant access, no data leakage risk.

Immutable audit trails.

Every action — every login, every record creation, every edit, every export — is logged with timestamp, user identity, and source. Logs cannot be modified or deleted.

Offline-capable.

Residential facilities have unreliable connectivity. The platform works offline — NFC taps, BLE detections, and voice recordings buffer locally with encryption and sync when connectivity returns.

Role-based access control.

Frontline staff see what they need. Supervisors see their facilities. Compliance officers see the organization. Configurable per role, per facility, per data type.

API-ready.

Data can flow to and from existing EHR systems, billing platforms, and state reporting portals. SignumOps complements your technology stack — it doesn't replace it.
